We are seeking a Receptionist / Project Administrative Assistant for our office management team located in Calgary, Alberta. The successful candidate will report to the Office Manager, working closely with engineers and executives providing administrative support for various Oil and Gas Projects.
Responsibilities:
- Typing as required by all Engineers/Executives: operating manuals, safety manuals/forms, minutes to meetings, datasheets and documentation;
- Develop Datasheets;
- Photocopying, and PDF documents;
- Book hotel and car rentals and track;
- Review and order office supplies;
- Troubleshoot / provide clerical support;
- Order/Pickup lunch and supplies as required;
- Office orientations for visitors;
- Greet visitors and provide orientation of office i.e. bathroom, office layout, muster point, sign in;
- Field telephone inquiries and direct to appropriate persons;
- Send outgoing mail, receive incoming mail and distribute;
- Manage boardrooms for booking requests;
- Other office duties as required.
Qualifications:
- Excellent typing skills;
- High proficiency in Microsoft Office including Microsoft Word, Excel, Power Point, and Outlook.
- Excellent interpersonal skills, working well within a small but dynamic team environment, interfacing on a Professional level with all co-workers
- Excellent verbal and written communication abilities
